PROGRAM ASSOCIATE, REGIONAL OUTREACH

Full-time, Exempt
Primarily works from Point Loma office and Rancho Bernardo area, but will travel to North County coastal and inland as well as South Bay occasionally.

Purpose of Position
The Regional Outreach Program Associate plays a vital role in supporting affiliate foundations throughout the region and supports the Regional Outreach staff to include the Associate Vice President, Director, Manager and Coordinator to increase philanthropy in designated communities. This position will support efforts to increase community awareness and understanding of The San Diego Foundation, and to increase The San Diego Foundation’s understanding of the local issues facing communities throughout the region. This will be accomplished through the provision of broad-scale coordination of operational, communications, leadership and administrative responsibilities related to assigned affiliates.

Essential Duties and Principal Responsibilities include but are not limited to:

  • Provide support and guidance to board chair and executive committee of 4S and Rancho Bernardo to lead to successful board performance
  • Provide program/committee oversight in partnership with committee chairs including grants, education and membership. Support execution of annual objectives, work plans and budgets
  • Provide timely and accurate reporting data to all committees as requested
  • Support member recruitment campaign, major donor initiatives, membership recruitment and retention strategies
  • Prepare and send recruitment kits and welcome packets for new members
  • Implement and manage communication strategy including monthly electronic newsletters, website updates, social media initiative—Facebook, LinkedIn, Twitter, President’s blog, etc.
  • Coordinate and manage the scheduling, planning and coordination of events and meetings, including sending announcements, securing venues and catering, preparing agendas and/or assisting manager, director or volunteer members in doing the same; meeting setup and tear down.
  • Provide superior customer service to affiliate members, the community and nonprofit organizations resulting in a positive and professional image of TSDF in the community
  • Serve as support in our relationship with nonprofit organizations in the preparation, launch and log-in of electronic grants applications, including answering questions and resolving problems
  • Demonstrate a knowledge of the issues in the assigned region
  • Become visible in assigned region through community involvement, and nonprofit activities in the assigned region
  • Create and maintain contact information for all nonprofits in affiliate areas
  • Maintain integrity of affiliate database to ensure accurate and complete data of members (past and present), prospective members and local non profits
  • Record minutes for all Board meetings; prepare minutes for review by board chair
  • Manage and maintain administrative processes to ensure a smooth workflow
  • Compose, prepare and edit correspondence including, reports, letters, membership invoices, memos, electronic newsletter and proposals within specified deadlines.
  • Ensure quality and consistent work is produced
  • Complete all assigned tasks within a specified timeframe
  • Other duties as assigned

Minimum Qualifications

  • Minimum three to five years experience in a business office environment, preferably nonprofit or service industry
  • Demonstrated experience working with volunteers and nonprofit organizations
  • Demonstrated experience with coordinating logistics of meeting and event scheduling and planning and implementation
  • Knowledge of philanthropic climate in San Diego
  • Knowledge of donor/member cultivation and development/fundraising principles
  • Demonstrated experience with grantmaking processes
  • Proven track record in developing and using administrative systems
  • Demonstrated superior customer service
  • Proven ability to appropriately and professionally represent TSDF with both internal and external customers
  • Proven ability to work independently and successfully organize, multi-task and prioritize multiple projects
  • Regularly takes initiative to recognize and anticipate problems, then solve them
  • Strong oral presentation skills
  • Superior interpersonal skills to relate to a diverse membership
  • Strong writing and editing skills
  • Computer skills: Strong ability with Microsoft Word, Excel, E-mail, Outlook, Publisher and database knowledge. HTML and email marketing programs a plus.

Education and Experience Requirement

  • Bachelor’s degree preferred
  • Background in Foundation or other nonprofit organization a plus

Language Skills

  • Ability to read, write and speak English fluently

Special Conditions

  • Ability to work evenings and weekends as needed
  • Must be willing to work from satellite offices and adjoining communities
  • Transportation: ability to attend and transport materials and refreshments to and from meetings San Diego region-wide as needed
